  2. QuickBooks Online: For accounting, bookkeeping, and financial management. Your financial data is stored and processed within QuickBooks Online's secure environment. We rely on QuickBooks Online's robust security measures and features like user permissions to control access to your financial information.

  3. Keeper: For secure document exchange and password management. Keeper is a zero-knowledge security platform designed to encrypt data at the device level, meaning only you (or authorized users with your permission) can decrypt your data. We use Keeper to securely share sensitive documents, login credentials, and other confidential information with our clients, minimizing risk.

  • Legal and Regulatory Requirements: When required by law, subpoena, court order, or governmental regulation, or to protect our rights, property, or safety, or the rights, property, or safety of others.

  • Successor Entities: In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred to the acquiring entity, subject to their commitment to a similar privacy policy.

5. Data Security

We implement a variety of security measures to protect your information from unauthorized access, disclosure, alteration, and destruction. These measures include:

  • Administrative Safeguards: Employee training on data privacy and security, strict internal policies and procedures for data handling.

  • Technical Safeguards: 

  1. Google Workspace: We utilize strong passwords, two-factor authentication (2FA) for all accounts, and role-based access controls within Google Workspace to limit access to sensitive documents and communications. All data stored in Google Drive is encrypted in transit and at rest.

  2. QuickBooks Online: We leverage QuickBooks Online's built-in security features, including multi-factor authentication, encryption of data in transit and at rest, and regular security audits conducted by Intuit. We also configure user permissions within QuickBooks Online to ensure only authorized personnel have access to specific financial data.

  3. Keeper: As a zero-knowledge platform, Keeper encrypts all data (including documents and passwords) locally on the user's device before it leaves for Keeper's Cloud Security Vault. This ensures that even Keeper employees cannot access your data. We utilize Keeper's features like AES 256-bit encryption, two-factor authentication, and secure sharing capabilities to protect information exchanged with clients.

  4. Network Security: Firewalls, antivirus software, and regular security updates on our internal systems.

  5. Data Encryption: We use encryption for transmitting sensitive information where appropriate.

  • Physical Safeguards: Secure office premises and restricted access to physical documents.

While we strive to protect your information, no method of transmission over the internet or method of electronic storage is 100% secure. Therefore, we cannot guarantee its absolute security.

6. Data Retention

We retain your information for as long as necessary to fulfill the purposes for which it was collected, including for the purposes of satisfying any legal, accounting, or reporting requirements.
